The Challenge

Kiran Diamond Exports was experiencing significant operational inefficiencies due to disconnected systems. Rough stone inventory was tracked in spreadsheets, production status was recorded on paper job cards, financial transactions were in Tally, and export documentation was prepared manually in Word. Information was frequently lost, duplicated, or inconsistent across these systems.

The lack of real-time visibility into production status and inventory meant that customer inquiries about order status required time-consuming manual investigation. Export documentation errors led to customs delays. Financial reconciliation at month-end took over a week of manual effort.

The company needed a system that could handle the unique complexities of diamond processing, including tracking individual stones through multiple processing stages, managing lot splitting and merging, and generating the specialized documentation required for international diamond trade.

Our Solution

Omeecron conducted extensive process mapping workshops with stakeholders across all departments. We designed a modular ERP architecture that mirrors the actual flow of diamonds through the business, from rough stone receipt to export shipment.

The production module uses barcode scanning to track individual stones and lots through each processing stage, automatically recording weight changes, processing times, and operator assignments. The grading module captures detailed quality parameters aligned with international standards. The financial module handles multi-currency transactions, GST calculations, and integrates with banking systems for payment processing.

We implemented the system in three phases over eight months, starting with inventory and production management, followed by financial management, and finally export documentation and analytics. Each phase included thorough training and a parallel running period to build user confidence.

Project Overview

Kiran Diamond Exports is a mid-size diamond processing and export company based in Surat, handling thousands of stones monthly from rough intake through polishing, grading, and international export. Their operations were managed through a patchwork of spreadsheets, a basic Tally installation, and manual paper-based tracking for production workflows. Omeecron built a comprehensive custom ERP system that unified all their business processes into a single, integrated platform.

Technical Approach

The ERP system was built on Laravel with a Vue.js frontend, deployed on AWS infrastructure with the database hosted in the Mumbai region for compliance. The system comprises modules for rough stone inventory management, production planning and work-order tracking, polished stone grading and certification, customer relationship management, export documentation and shipping, GST-compliant financial management, and comprehensive reporting and analytics.

Special attention was given to the unique workflows of diamond processing, including lot splitting, weight tracking across processing stages, and integration with GIA grading standards. The system supports barcode-based stone tracking throughout the production process.
