The Challenge
Shivam Chemical Industries was processing approximately 400 purchase orders and 600 invoices monthly, all handled manually by a team of eight procurement and accounts staff. The process was slow, error-prone, and created bottlenecks at every stage. Purchase requisitions waited days for approvals. Supplier price comparisons were done manually in spreadsheets. Three-way matching of purchase orders, delivery notes, and invoices took over 45 minutes per transaction. Compliance documentation for chemical handling regulations required hours of manual preparation.
The manual nature of these processes created broader business problems. Late purchase orders led to raw material shortages that disrupted production schedules. Invoice processing delays strained supplier relationships. Missing or incorrect compliance documentation risked regulatory penalties. Management had no real-time visibility into procurement spending or supplier performance.
The company had explored traditional ERP solutions but found them overly complex and expensive for their specific needs. They wanted targeted automation of their most painful processes without replacing their existing Tally financial system.
Our Solution
Omeecron took a phased automation approach, tackling the highest-impact processes first and progressively expanding the automation footprint. We started with a thorough process mining exercise, observing and documenting actual workflows rather than relying on how processes were supposed to work.
Phase 1 automated invoice processing: RPA bots extract data from supplier invoices received via email, validate the data against purchase orders and delivery notes, perform three-way matching, and route exceptions to human reviewers. Matched invoices are automatically posted to Tally.
Phase 2 automated the procurement workflow: Purchase requisitions trigger automated supplier price comparisons, generate purchase orders based on predefined rules, and route high-value orders through an approval workflow with mobile notifications. The system tracks delivery commitments and automatically sends follow-up communications for overdue shipments.

Their supply chain operations, from raw material procurement through production scheduling and finished goods distribution, were heavily dependent on manual processes involving spreadsheets, email communication, and paper-based approvals. Technical Approach
The automation solution combines RPA bots for repetitive data tasks with a custom workflow orchestration platform built on Laravel. The RPA layer handles data extraction from supplier emails, purchase order generation, invoice matching, and compliance documentation. The workflow platform manages multi-level approval processes, automated notifications, and exception handling with human-in-the-loop escalation. The entire solution integrates with Shivam's existing Tally-based accounting system through API connectors.
